Privacy Policy

1. Who We Are

UpfitTrack is operated by Upfit Technologies, LLC, a Missouri limited liability company. UpfitTrack is a workplace platform used by upfitting shops and public-safety fleet operators to manage vehicle builds, equipment, service records, and related operations.

This Privacy Policy explains what information we collect through the UpfitTrack mobile app and website, how we use it, who we share it with, and the choices you have. By using UpfitTrack, you agree to the practices described in this policy.

2. Information We Collect

We collect information that you, your organization, and your use of UpfitTrack provide to us, in the following categories:

Account information

  • Name, email address, organizational role, and the locations or units you are assigned to.

Operational records you create in UpfitTrack

  • Vehicle details such as VIN, year, make, model, unit number, and license plate.
  • Equipment records, build sheets, checklists, and project status.
  • Time tracking entries, service orders, and damage reports.
  • Photos you upload (for example, equipment, damage, or vehicle condition photos).

Device and integration data

  • TrackSpotter device identifiers and the photos and timestamps associated with them.

Technical and usage data

  • Firebase user identifiers, organization and location identifiers, login timestamps, and app usage events used to operate, secure, and improve the service.

3. How We Use Information

We use the information we collect to:

  • Provide and operate the UpfitTrack platform for your organization.
  • Track project progress through builds, service work, and completion.
  • Enable time tracking, equipment records, and vehicle documentation.
  • Send service-related and product communications you have asked for.
  • Maintain audit logs and historical records of work performed.
  • Diagnose problems, monitor performance, and improve UpfitTrack.
  • Comply with legal obligations and enforce our terms.

4. How We Share Information

We share personal information only as described below. We do not sell personal information.

Within your organization

UpfitTrack is a workplace platform. Administrators, managers, and other authorized users within your organization may access information about your activity, vehicles, and records as needed to operate your shop or fleet.

Service providers

We use Google Firebase as our primary infrastructure provider for authentication, database storage, file storage, and performance monitoring. Firebase processes information on our behalf under Google's terms.

Legal disclosures

We may disclose information when we are required to do so by law, subpoena, or other valid legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of UpfitTrack, our users, or the public.

5. Cookies, Logs, and Similar Technologies

We use a small set of technical cookies and similar technologies necessary to operate UpfitTrack:

  • Authentication cookies and tokens. Firebase Authentication maintains your signed-in session. Without these, you would be signed out on every page.
  • Performance and crash diagnostics. Firebase tools record technical information such as device type, app version, and error events to help us identify and fix bugs.
  • Web fonts. Our public-facing website loads fonts from Google Fonts. Loading the website transmits your IP address to Google in order to deliver the font files.

We do not use advertising cookies, cross-site tracking pixels, or third-party analytics tools that build advertising profiles. We do not sell your personal information.

6. Data Retention

We retain personal information for as long as your organization maintains an active UpfitTrack account, plus a reasonable additional period for legal, tax, accounting, and operational purposes (typically up to twenty-four (24) months after account closure).

Vehicle records, equipment records, and project history may be retained longer where they remain associated with active organizational use, or where retention is required to maintain the integrity of historical records (for example, audit trails for completed builds).

When information is no longer needed, we delete or de-identify it, except where retention is required by law.

7. Security

Information you store in UpfitTrack is hosted on Google Firebase, including Firebase Authentication, Cloud Firestore, and Firebase Storage. We design UpfitTrack so that:

  • Each organization's data is logically separated by organization identifier.
  • Role-based permissions are enforced both in the application and at the database layer.
  • Access to administrative tools is limited to authorized personnel.

No system is perfectly secure. While we work to protect your information, we cannot guarantee absolute security and you use UpfitTrack at your own risk.

8. Security Incidents

If we discover a security incident that affects your personal information, we will notify your organization administrator and any affected individual users without undue delay, and in any case within the timeframes required by applicable law. Notifications will describe, to the extent known, the nature of the incident, the categories of personal information involved, and the steps we are taking in response.

9. Your Rights and Choices

Depending on where you live, you may have one or more of the following rights with respect to your personal information:

  • Right to know / access: request confirmation of whether we process personal information about you, and a copy of that information.
  • Right to correct: request that we correct inaccurate or incomplete information.
  • Right to delete: request that we delete personal information we have about you, subject to certain legal exceptions.
  • Right to portability: request a copy of your personal information in a commonly used, machine-readable format.
  • Right to opt out of "sale" or "sharing": UpfitTrack does not sell personal information for money or other valuable consideration, and does not share personal information for cross-context behavioral advertising.
  • Right to opt out of profiling for significant decisions: UpfitTrack does not engage in automated decision-making that produces legal or similarly significant effects.
  • Right to non-discrimination: we will not deny service, charge a different price, or provide a different level of quality for exercising any of these rights.
  • Right to appeal: if we deny your request, you may appeal by replying to our response or contacting us at the address below.

To exercise any of these rights, email tech@upfittrack.com with the subject line "Privacy Request." Because UpfitTrack is a workplace platform, some requests must be coordinated with your organization administrator; we will tell you when this is the case.

We will respond within the timeframes required by applicable law (generally forty-five (45) days for U.S. state privacy laws, with a possible extension if reasonably necessary). We may need to verify your identity before processing certain requests.

10. Notice to U.S. State Residents

If you are a resident of California, Colorado, Connecticut, Texas, Utah, Virginia, or another U.S. state with a comprehensive privacy law, you may have additional rights under that state's law, in addition to the rights described above.

Categories of personal information we collect

In the twelve (12) months preceding the effective date of this policy, we collected the following categories of personal information:

  • Identifiers: name, email address, organizational role, Firebase user ID, location identifiers.
  • Commercial information: records of vehicles, equipment, and services associated with your organization.
  • Internet or network activity: login timestamps, app usage events, crash and performance diagnostics.
  • Geolocation (general): the location of your organization, used to associate vehicles and equipment with the correct organizational unit. We do not collect precise device geolocation.
  • Visual information: photos you choose to upload, such as damage reports, equipment photos, and vehicle photos.

Sources, purposes, and recipients

We collect this information from you, from your organization administrator, and from your use of the UpfitTrack app and website. We use it for the business purposes described in this policy, including operating UpfitTrack, securing the service, and supporting your organization's records.

We disclose personal information to Google Firebase (our hosting and infrastructure provider) for service-provider purposes only, and to the administrators of your organization who are authorized to access it.

Sale and sharing

We do not sell personal information for monetary or other valuable consideration, and we do not share personal information for cross-context behavioral advertising, as those terms are defined under applicable state privacy laws.

11. Children's Privacy

UpfitTrack is intended for use by adults in a professional workplace setting. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided personal information to us, please contact us at tech@upfittrack.com and we will take appropriate action.

12. International Users

UpfitTrack is operated from the United States, and our service providers (including Firebase) store data on servers located in the United States. If you access UpfitTrack from outside the United States, you understand and agree that your personal information will be transferred to, stored in, and processed in the United States, which may have different data-protection laws than your country of residence.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this policy and, where required by law, notify you through the app or by email. Your continued use of UpfitTrack after the effective date of an updated policy constitutes acceptance of the changes.
